What does an Administrative Assistant do at Un-titled Lab?

As an Administrative Assistant at Un-titled Lab, you’ll be a crucial support system for both our operational efficiency and our People & Culture initiatives. You’ll assist in managing administrative tasks while also providing key support in HR-related areas, ensuring smooth workflows across the organisation. Your role will involve managing schedules, communications, and administrative processes, as well as assisting with employee-related tasks, allowing our leaders and teams to focus on delivering exceptional results and fostering a positive work environment.

  1. Administrative Coordination
    • Manage calendars, emails, appointments, and travel arrangements for leadership, ensuring efficient scheduling.
    • Coordinate meetings, including preparing agendas and capturing follow-up tasks.
    • Handle general administrative tasks, such as ordering office supplies and refreshments.
  2. HR Coordination
    • Assist with on-boarding and off-boarding processes, including preparing necessary documentation and coordinating logistics.
    • Support with recruitment activities, such as scheduling interviews and managing candidate communication.
    • Assist in the implementation of HR policies and procedures.
  3. Documentation & HR Support
    • Oversee document management with confidentiality and professionalism when handling sensitive information, including employee data.
    • Maintain and update records, databases, and filing systems, including HR-related data such as employee information, training records, and performance reviews.
    • Monitor and track progress on various initiatives, stepping in to ensure tasks are finalised, and provide support in tracking HR-related deadlines (e.g., performance review cycles, training schedules).
  4. Communication Management & Employee Liaison
    • Serve as a key communication link between leadership, teams, and external stakeholders, as well as being a point of contact for basic employee inquiries.
    • Draft and proofread correspondence, emails, presentations, and reports for accuracy and clarity, including HR-related documents.
    • Assist in the preparation and distribution of HR-related communications and announcements.
  5. Problem-Solving and Efficiency
    • Identify bottlenecks in workflows and suggest improvements for smoother operations, with an eye towards optimising administrative processes.
    • Provide hands-on solutions to administrative and basic HR-related challenges as they arise.
    • Assist in fostering a positive and communicative work environment.

What else?

  • Supervise the office cleaning staff to ensure a clean and tidy workspace.
  • Prepare and submit travel and expense reimbursements.
  • Support Un-titled Lab’s business development activities.
  • Assist with employee engagement initiatives and events.
  • Provide basic support to employees regarding HR-related queries (e.g., benefits information, policy clarifications).

Qualifications

Must Have

  • Bachelor’s degree or equivalent experience in business administration, management, or a related field.
  • Minimum of 1 year of experience in an administrative, sales coordinator, or other support role.
  • Proactive and professional demeanour with excellent interpersonal skills.
  • Strong attention to detail and problem-solving abilities.
  • Strong organisational, time-management, and multitasking skills.
  • Flexibility to adapt to changing priorities and work under pressure.
  • Proficiency in English, both written and reading.
  • Basic understanding of HR principles and practices.
  • Excellent interpersonal skills and the ability to build rapport with employees.

Nice to Have

  • Proficiency in office productivity tools and project management software.
  • Familiarity with travel booking and expense reporting.
  • Proficiency in speaking English.
  • Experience assisting with recruitment, onboarding, or employee relations.
